Responsibilities
- Perform administrative duties as required for Defense Health Agency (DHA). Manage office functions to support the Chief Data and Analytics Officer (DAO).
- Manage all assigned incoming/outgoing correspondence and suspense actions on behalf of DAO.
- Coordinate and prepare directorate personnel actions, official travel arrangements and orders, and schedules and oversees meetings and conferences on behalf of DAO.
- Support with the coordination of meetings, workgroups and conferences sponsored by the Government and attended by Government staff.
- Coordination of the DAO Directors’ calendar.
- Prepare daily schedule binders.
- Provide assistance with meeting logistics and preparing briefings, to include, but not limited to:
- Coordination and reserving conference rooms.
- Update contact lists and send meeting invites.
- Support to draft meeting agenda.
- Support compilation of meeting read ahead materials.
- Print meeting read ahead and other materials for Government staff.
- Create attendance lists for meetings.
- Capture and draft meeting minutes when required.
- Review audio files from meetings to verify draft meeting minutes.
- Pre-register visitors in the Visitor Management System (VMS).
- Request visitor parking passes.
- Escort visitors upon arrival at the DHHQ.
- Assist with providing information on emerging business rules and instructions
- Update annual leave calendar based on submissions provided by Government Staff; and assist in maintaining Government, Military and On-Site Contractor distribution lists.
Qualifications
- Secret clearance is required
- 5 or more years of experience supporting DHA, DoD or other Federal agencies
- Excellent written, oral, and interpersonal communication skills
- Prior experience providing administrative support to senior DHA or other Federal agencies leadership
- Excellent organizational skills, ability to establish and maintain working relationships with internal and external staff members, and the ability to work independently and take a proactive role
- Flexibility and ability to prioritize tasks according to senior staff requirements.
- Proficiency in Microsoft Word, Excel, Outlook, PowerPoint, and SharePoint
- Team player who maintains a positive attitude in a dynamic environment
- High energy, enthusiasm, tact, ability to interact effectively with senior executives from Government and industry as well as Pentagon staff members.
- Ability to create and foster a cooperative work environment.
- Self-directed, detail oriented in completing assigned tasks, able to adapt to changing work efforts and manage impact of shifting priorities.
- Bachelor’s degree is desired
